IT Admin Help

Learning how to be an Admin and was wondering: say as an admin you receive this email with the following instructions:
Subject: New Hire
We have a new hire for Bein Trum Department:
Deiuezra Widelli
She needs:
Phone extension: (check this done)
BT email (Hers will be Deiuezra.Widelli@beintrum.com) <----????
BT advantage access (check this is done)
BT server access <----????

for the pcs would admin use remote access and for the macs there is an option that says remote into server at the top, do we use that for the macs and for the pcs would we need to get ip address and connect them or like usernames and create passwords (can you explain this in detail with simple understandable terms/steps and pictures) ---- For the email would that be created on the server for employees or thinking on each individual computer?
